This role is responsible for supporting customers by phone and email, assisting them with ordering our specialized window products, and ensuring a smooth experience from quote to delivery. The Customer Service Assistant helps customers select the correct products, prepares accurate quotes, enters and tracks orders, and provides timely updates throughout the order process. This position works closely with internal teams to resolve questions, maintain order accuracy, and deliver dependable customer service.
Essential Functions:
• Produce quality work on time and complete in the safest, most efficient manner possible
• Provide exceptional customer service; research customer specifications, track orders
• Enter alpha/numeric quotes and sales orders with a high degree of accuracy and attention to detail using customized software
• Make well thought-out decisions regarding customer problems
• Prioritize work to meet deadlines
• Communicate via telephone, fax and email using Microsoft Office software
• Regular and dependable attendance
• Read and write English
• Accept Supervision, adhere to company policies and procedures, and follow safety rules and standards
Other Duties and Responsibilities:
• Provide back-up support to other office positions
• Process Return Authorizations and follow through with remake process
• Print forms, reports, and labels as needed
• Prepare daily and monthly reports as requested
• File according to standard filing procedures
• Perform all other duties as assigned
Knowledge, Skills and Experience Required:
• High school diploma
• Familiarity with standard filing procedures
• Basic math skills including fraction/decimal conversion
• Accurate keyboarding and numeric data entry
• Experience with computers and printers, fax, multi-line phones, copy machines, and ten-key calculator
• Experience with Microsoft Outlook, Word, and Excel software
• Excellent communication and interpersonal skills
• Ability to work independently and also function as a team member
• Ability to shift priorities quickly and handle multiple tasks
• Ability to learn and retain customer characteristics and product specifications
• Follow through on assigned tasks and manufacturing processes
• Problem solving
